City finds less costly storage space

BRANSON MO NEWS: A change in storage for the city of Branson did more than get a statue back in the public view.Boxes of city documents, previously stored in Hollister alongside a bronze sculpture of 50 World War II soldiers, were moved to a new storage facility at Ballparks of America.Branson City Clerk Lisa Westfall said the city needed to move both the boxes and the statue after receiving a 30-day notice from the previous storage facility. 

In January, at the previous storage location, the city’s lease increased from $14,400 to $19,800 annually.At the new storage location, Westfall said, the city pays $700 per month, or $8,400 annually. The contract, Westfall said, began on May 15 and runs through May 15, 2021.“(The contract) has options to renew thereafter,” Westfall said.The contract did not need the approval of the city’s aldermen, Westfall said, since it fell under a $15,000 contract requirement set by city code.“That (code) gives the city administrator the right to sign anything under that amount,” Westfall said.In addition to finding a secure location for the documents, Westfall said accessibility was a big factor.According to Westfall, some of the documents in storage date back to the founding of Branson.“The oldest would be the creation of the city of Branson ordinances,” Westfall said. “The oldest is the first documents that created the city.”Those documents, Westfall said, have a lifetime retention attached. Others, such as building blueprints, can only be discarded 10 years after the building is demolished.

“The Secretary of State for Missouri has retention requirements,” Westfall said. “Ordinances and resolutions are lifetime, permanent. Blueprints for every building is 10 years after destruction of the building. So how often do we destroy a full building? Then you get to the other ones that have a shorter lifespan.“It’s all about open …
